mumms affiliated company Brightgray Solutions is seeking a full-time administrative assistant to provide support to senior level employees and other staff as necessary. The position requires a full understanding of the day-to-day operations, while coordinating important dates and deadlines.  The ideal candidate will be proactive, energetic, articulate, professional and able to multi-task in a fast paced environment while keeping a very positive attitude.  In addition, the candidate must have superior people skills and discretion when dealing with highly confidential information.

PRIMARY DUTIES:

  • Answer Phones
  • Make company purchases as directed
  • Conduct research and create necessary reports/ spreadsheets
  • Assist with arrangements for meetings with clients, outside organizations and special events
  • Organize and plan complicated travel arrangements
  • Maintain calendars, plan and arrange business meetings
  • Provide general administrative and clerical support to all departments as necessary
  • Organize, file and route electronic and hardcopy documents, correspondence and other materials to appropriate team members
  • Provide basic operational marketing and sales research support
  • Follow-up on new leads by converting site traffic through calls-to-action
  • Perform other job duties as requested by Manager/Supervisors.

BASIC QUALIFICATIONS:

  • 2-5 years of work experience supporting senior-level professionals

(Experience supporting senior-level marketing and/or sales professionals a plus)

 

PREFERRED SKILLS:

  • Prior experience working with Salesforce/HubSpot Databases
  • High level of proficiency in software applications such as Microsoft Office especially Excel and Word
  • Ability to accurately proofread documents for both clarity and grammatical errors
  • Excellent oral and written communication skills
  • Basic understanding of effective marketing techniques – written, visual and operational
  • Professional demeanor; ability to work effectively with all levels of staff
  • Ability to multi-task and work effectively in a demanding, high expectation environment while maintaining accuracy and control
  • Ability to understand office policies, procedures, and processes
  • Ability to listen to instructions and ask appropriate follow-up questions based on scope of work
  • Energetic, positive attitude a must
  • Strong team player, reliable, punctual and demonstrates initiative
  • Very strong ability to think on your feet
  • Able to lift/ move 25 lbs
